IT POLICY

City College Jayanagar is committed to enhancing student learning and academic achievement by providing robust and secure Information and Communication Technologies (ICT). The college aims to equip students and staff with the necessary skills to use technology responsibly, ethically, and effectively, both inside and outside the classroom. The following IT policy guidelines outline the responsible use of ICT resources at City College Jayanagar.

1. Authorized Access:

  • All users, including students, faculty, and staff, will be issued a CCJ ID and password to access the college’s ICT network. These credentials are personal and must not be shared with anyone else.
  • Unauthorized use of another individual’s credentials to gain access to the network is strictly prohibited and will lead to disciplinary action.
  • Faculty and students are encouraged to change their passwords regularly to enhance security.

2. Data Protection and Privacy:

  • The college is committed to safeguarding personal data. A data breach occurs when personal information is lost, or unauthorized access, modification, or misuse occurs. The college has a zero-tolerance policy towards any such incidents.
  • Faculty and students must ensure that all sensitive information they handle, including student records and personal data, is securely stored and transmitted.

3. Use of ICT Services:

  • ICT services at City College Jayanagar are intended primarily for academic, research, and administrative purposes.
  • Access to ICT services is a privilege and must be used with respect and responsibility. Any misuse of resources, including excessive non-academic use, will result in the revocation of access privileges.
  • ICT services may not be used for any form of harassment, bullying, or dissemination of offensive content.

4. Email Usage:

  • All faculty, staff, and students will be provided with a college email account for official communication. Personal email accounts are not to be used for any official communication related to the college.
  • All users are expected to exercise professionalism and courtesy when composing and sending emails, whether internally (within the college) or externally.

5. Internet Usage:

  • The Internet is a valuable academic resource. However, users must exercise discernment and appropriate guidance when accessing online content.
  • It is the responsibility of users to ensure that their activities do not breach college policies or state or federal laws.
  • The use of the college’s ICT infrastructure for accessing inappropriate, unauthorized, or illegal content is strictly forbidden and will result in immediate disciplinary action.

6. Social Networking:

  • Social networking platforms are integral to modern communication and academic collaboration. However, users must exercise caution and responsibility when engaging with these platforms.
  • Official communication related to the college via social media must be sanctioned by the Principal or the Management.
  • Faculty, students, parents, and guardians are prohibited from using social media platforms to make any unauthorized reference to City College Jayanagar or to misrepresent the college’s policies or practices.
  • Any content that could bring the college into disrepute will be considered a serious violation of the college’s policy.

7. Use of Personal Devices (BYOD – Bring Your Own Device):

  • Students and faculty members are permitted to use personal devices (laptops, tablets, smartphones) for academic purposes on the college premises, provided they adhere to the college’s IT and security policies.
  • The college reserves the right to monitor the use of personal devices connected to its network to ensure compliance with ICT guidelines.
  • Personal devices should be protected with antivirus software and regular updates to prevent security breaches.

8. Cloud Storage and Backup:

  • Faculty and students are encouraged to use cloud storage services provided by the college for storing academic and research-related documents.
  • Regular backups of important files should be maintained by users to avoid data loss.
  • Storing personal, non-academic files on the college’s cloud storage platform is discouraged.

9. Inappropriate Content and Applications:

  • The college’s ICT network must not be used to access, disseminate, or store unauthorized, inappropriate, or illegal content.
  • Inappropriate content includes materials that are offensive, discriminatory, or otherwise contrary to the values of the college.
  • Downloading or using pirated software or unauthorized applications on the college network is strictly prohibited.

10. Monitoring and Reporting:

  • The college reserves the right to monitor ICT usage to ensure compliance with this policy. All activities conducted on the college’s network may be subject to review and audit.
  • Any violation of this policy should be reported to the IT Administrator or Principal. Users found violating the policy will be subject to disciplinary action, including suspension of network access, legal action, or other appropriate measures.

11. IT Equipment Usage:

  • All ICT equipment, including computers, printers, projectors, and audio-visual devices, must be used responsibly.
  • Equipment must not be damaged, tampered with, or reconfigured without prior approval from the IT Department.
  • Any technical issues should be reported immediately to the IT support staff for resolution.

12. Cybersecurity and Training:

  • The college will organize workshops and training sessions on cybersecurity awareness, safe internet usage, and data protection.
  • All users are expected to be familiar with basic cyber hygiene practices, including the use of strong passwords, two-factor authentication, and recognizing phishing or malware attacks.
